Moving staff and payroll
Bring your employees, what they were paid this tax year, and their leave balances.
The three files
The employee list: one line per employee with their number, names, ID number, start date, job title, department, basic salary and bank details.
Year-to-date figures: one line per employee with the totals since 1 March. These are earnings, bonus, PAYE, UIF, SDL, medical aid and retirement fund.
Leave balances: the days each employee has left, per kind of leave.
Why the year-to-date figures matter
The tax year starts on 1 March. If you move in, say, October, your employees were already paid for seven months in your old program.
PAYE is the tax taken from salaries. When an employee gets a bonus, the tax on it depends on what they were paid earlier in the year. The IRP5 at the end of the tax year must show the whole year too.
So DIANO keeps each employee's totals from 1 March to the day before your start date.
Leave balances
DIANO works out leave from each employee's start date. To match your old program, DIANO adds one adjustment per employee and kind of leave, dated the day before your start date. The leave register shows it as the balance brought from your old program.
Who can do it
A Company Admin brings the staff across. HR Payroll users can check the files.
