1. Your trial balance on the day before your start date
Where: Settings › Export data › Reports › Trial Balance
A trial balance lists every account with its balance on one day. Choose the date the day before your start date (the day before your start date). Show all accounts. It has a Debit and a Credit column, and the two totals are the same.
Save it as Excel (.xlsx), not PDF.
2. Unpaid customer invoices on the day before your start date
Where: Reports › Standard reports › Who owes you › Accounts receivable aging detail
One line for each customer invoice that is not fully paid, on the day before your start date: customer, invoice number, date and the amount still owed. Choose the detailed report (one line per invoice), not the summary.
Save it as Excel (.xlsx), not PDF.
3. Unpaid supplier invoices on the day before your start date (if it applies)
Where: Reports › Standard reports › Unpaid Bills
One line for each supplier invoice you have not fully paid, on the day before your start date: supplier, their invoice number, date and the amount you still owe. Choose the detailed report. If you owe no supplier anything, you can skip this file.
Save it as Excel (.xlsx), not PDF.
4. Your customer list
Where: Reports › Standard reports › Sales and Customers › Customer Contact List › Export › Export to Excel
A list with one customer on each line: name, code (if you use codes), e-mail and phone. Balances are not needed here.
Save it as Excel (.xlsx) or CSV, not PDF.
5. Your supplier list
Where: Reports › Standard reports › Vendor Contact List › Export › Export to Excel
A list with one supplier on each line: name, code (if you use codes), e-mail and phone.
Save it as Excel (.xlsx) or CSV, not PDF.
6. Your item list (if it applies)
Where: Sales & Get Paid › Products & services › More › Run reports › Export to Excel
A list of the things you sell or buy: code, description, selling price and cost.
Save it as Excel (.xlsx), not PDF.
7. Your chart of accounts (if it applies)
Where: Reports › Standard reports › Account List › Export › Export to Excel
A list of your accounts with each account's type (for example Bank, Current Asset, Expense).
