Privacy Policy
This Privacy Policy explains how DIALE CONSULTING (PTY) LTD processes personal information in connection with DIANO, in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”).

2. Information we collect
- Account information: company name, registration and VAT details, contact person, email address, phone number and user login details.
- Billing information: plan, invoice and payment status. Card details are captured and processed by Payfast; we do not receive or store card numbers.
- Business records that you capture in DIANO (for example customers, suppliers, quotations and invoices), which may include personal information about your own clients.
- Technical information: sign-in activity, audit logs and browser storage needed for the platform to work securely.
3. Our role for your business records
For the business records you capture, your business is the responsible party and DIALE Consulting acts as an operator under POPIA: we process those records only on your instructions and to provide the service, and we keep them confidential and secure.
4. Why we use personal information
- To create and manage your account and workspace, and to authenticate users;
- To bill subscriptions and issue tax invoices;
- To provide support and send service notices (such as payment, renewal and security emails);
- To keep the platform secure, prevent fraud and meet our legal and tax obligations.
We do not sell personal information, and we do not use your business records for marketing.
5. Sharing and service providers
We share personal information only with service providers that help us deliver the service, under confidentiality and security obligations:
- Google Cloud / Firebase – hosting, database, authentication and email delivery infrastructure;
- Payfast – payment processing for subscriptions.
Some of this infrastructure may be located outside South Africa. Where personal information is transferred across borders, we rely on providers that are bound by data-protection obligations offering protection substantially similar to POPIA, as required by section 72.
6. Security
We use encryption in transit, access controls based on user roles, separation of each customer’s data, audit logging and regular review of our security controls. If we become aware of a security compromise affecting your personal information, we will notify you and the Information Regulator as required by section 22 of POPIA.
7. RetentionWording under revision
We keep account and business records for as long as your subscription is active. After cancellation, records remain available read-only for export for 90 days and are then deleted, unless you ask us to delete them sooner or the law requires us to keep them longer (for example, our own tax and accounting records).
8. Your rights
You may request access to, correction of, or deletion of your personal information, and you may object to processing in the circumstances allowed by POPIA, by contacting our Information Officer at info@diale.co.za. If you are not satisfied with our response, you may lodge a complaint with the Information Regulator (South Africa) via https://inforegulator.org.za.
9. Cookies and browser storage
DIANO uses browser storage and similar technologies that are necessary for sign-in, security and saving your work. We do not use advertising cookies.
10. Changes
We may update this policy and will notify customers of material changes by email. The effective date above shows the current version.
